Organization admin guide
You set up the organization, invite the team, open programs and handle data protection.
Contents
This guide is for the person who sets up and runs an organization on Cohie: setup, inviting the team, opening programs, redirecting from your own domain, data protection records and the plan quota.
Set up the organization
- Sign up. Create an account at cohie.app with your name, email address and a password, then verify your email.
- Create your organization. Enter the organization name, type and address. The address looks like yourorg.cohie.app, and you'll see whether it's free as you type.
- Data Processing Agreement. Read and accept the agreement. The organization is the data controller and Fauna is the processor.
- Set your brand. In Organization settings, choose your logo and main color. Organization pages and emails use that color.
- Fill in the data controller details. A program can't go live without a legal name, an address and a data protection email. The privacy notice is drafted from these details.
Build the team
Send an email invitation from the Team section. The person you invite creates an account from the link.
- Owners and admins manage organization settings, the team and data protection requests.
- A team member works in programs with admin rights but cannot change organization settings.
- To bring an outside partner into one program, add them under that program's Program team, not the organization team.
Open a program
- New program. Choose New program in the left menu.
- Pick a template. Pre-incubation, early-stage acceleration, TÜBİTAK BİGG 1812, open innovation and POC, idea competition or a blank program. A template comes with the form, jury rounds, training calendar and deliverables, and you can edit all of it afterwards.
- Name, address and dates. The program address is yourorg.cohie.app/program-name.
- Create. The program opens as a draft. When it is ready, publish it from Program settings.
On the Free plan you can have 2 active and 5 archived programs at the same time. On the Enterprise plan the limits follow the agreement.
Redirect from your own domain
If the organization has its own website (for example apply.yourorg.com), you can set up a permanent redirect (301) from that address to yourorg.cohie.app. The person who manages the domain does this in their own DNS or hosting panel; nothing needs to be set in Cohie.
If you want your own domain to stay in the address bar, talk to a sales consultant about the custom domain feature on the Enterprise plan.
Data protection and records
- KVKK: personal data requests, retention periods, destruction records and the VERBIS inventory, with your replies and deadlines on record.
- Audit log: who did what and when. Every export is written here too.
- Email log: the status of emails sent on behalf of the organization.
- Security: you can require two-step verification and connect corporate sign-in (OIDC).
Plan and quota
The Plan tab in Organization settings shows quota use and the Enterprise features. When the quota is full you can archive a program or request a higher quota.
Frequently asked questions
Why can't a team member see organization settings?
A team member works in programs but has no access to organization settings, data protection requests or the audit log. Those need the owner or admin role.
The quota is full and I can't open a new program.
Archive a finished program: archived programs don't count toward the active quota. If the archive limit is full too, request a higher quota from the Plan tab.
What do I do when a personal data request comes in?
Open the request under KVKK, reply and update its status. Deadlines and actions are recorded.
