Program manager guide
You run a program from applications to Demo Day.
Contents
This guide is for the program manager running an accelerator program on Cohie: getting it ready to publish, the application form, applications, the jury, decisions, the cohort and reports.
Get the program ready to publish
- Program page. Edit the introduction, outcomes, who can apply, the timeline and the FAQ. Add logos under Supporters.
- Program settings. Set the application and program dates, capacity, format and status here.
- Publish. Only the team can see a draft program. Once published, it goes live at yourorg.cohie.app/program-name.
Edit the application form
- In Application form, add sections and fields, reorder them, mark them required, and set options and conditions.
- Mark fields that hold personal data: in blind review these fields are never sent to jurors.
- Set screening rules: each application then shows an eligible, manual check or ineligible signal with the reason.
- The privacy notice is shown before applying. There is no consent checkbox; optional explicit-consent items are separate and unticked.
Manage applications
- List and filter. In Applications, search and filter by status, screening result or tag, and sort.
- Bulk actions. Select rows to change their status, send them to a round or add a tag. After each action you can undo it from the confirmation.
- Open the detail. Answers, files, screening reasons, internal notes and the timeline are all on one page.
- Export. Download as Excel or CSV. Every download is written to the audit log.
Set up the jury
- Add a round. In Evaluation, create a round: name, scale (1-5 or 1-10), criteria, weights, level descriptions, threshold and deadline.
- Invite jurors. Send email invitations to the jury pool and add expertise tags.
- Assign applications. Let every juror see every application, balance the load with automatic assignment, or assign by hand. A juror who declares a conflict of interest is removed from that application.
- Open the round. Jurors confirm the confidentiality and impartiality pledge the first time they open a round. Track progress and reminders on the Evaluation screen.
- Read the results. Raw and normalized averages, distribution, the needs-discussion flag and the below-threshold warning appear with the ranking.
Decide and notify
On Decisions and notification, mark applications accepted, waitlisted or rejected, in bulk if you like. You see a preview of the email before it goes out. You can add criterion averages and the comments you pick as feedback.
Run the cohort
- Startups: an accepted application becomes a startup record; team, mentors, attendance and deliverables show on one profile.
- Training program: modules and sessions, trainers, required sessions and attendance.
- Mentoring: mentor pool, matching suggestions, office hours and booking approval.
- Events: public registration, capacity, waitlist, check-in.
- Deliverables and Progress reports: open a request, track each startup's status, approve or ask for a revision.
- Announcements, Messages and Community: announcements to a chosen audience, conversations with a startup, the community feed.
Program team and permissions
Under Program team, give each person only the screens their task needs; set an end date and their access ends on its own. Anyone who isn't a full admin sees only the screens you give them.
Reports
Reports and exports has the program dashboard and Excel or CSV reports: applications, jury scores, ranking, attendance, mentor meetings, event registrations, deliverable status, progress reports.
Frequently asked questions
What does a juror not see?
In blind review, fields marked personal and the applicant's identity are filtered on the server and never sent to the juror. The name isn't just hidden on screen; it never reaches the juror's browser.
What if a locked score has to change?
The program team reopens it and the action is written to the audit log. The juror corrects the score and locks it again.
I can't publish the program.
The publish check tells you what's missing. Most often the organization's legal name, address or data protection email is missing; add it in Organization settings.
